Supplier code of conduct

Cin Cin is committed to understanding and managing social, ethical and environmental issues along its supply chain in a responsible manner. This Supplier Code of Conduct (“the Code”) has been developed to help Cin Cin meet this commitment and outlines the minimum terms and conditions of doing business with Cin Cin.

All Cin Cin garments are made exclusively in Bali, Indonesia, and we expect all suppliers involved in our production to uphold the standards set out below.

This Code is mandatory for all suppliers, including:
1.⁠ ⁠Fabric mills – weavers and manufacturers of fabrics used in Cin Cin garments
2.⁠ ⁠Garment makers – makers of Cin Cin garments produced in Bali, Indonesia
3.⁠ ⁠Fashion production services – fabric dyers, cutters, pattern-makers and associated services
4.⁠ ⁠Trim & packaging manufacturers – suppliers who manufacture trims and packaging for Cin Cin garments(collectively referred to as “Suppliers” and individually as a “Supplier”).

APPLICATION OF THIS CODE
Suppliers must ensure compliance with the standards set out in this Code within their own operations. We expect that the requirements of this Code are understood and supported by formal policies and systems within the Supplier’s business. Suppliers are also responsible for ensuring that their own supply chain adheres to this Code and/or equivalent internationally accepted standards.

INTERPRETATION AND DEFINITIONS
For clarity, the commitments outlined in this Code should be interpreted in accordance with internationally recognised standards such as:•⁠  ⁠The Ethical Trading Initiative (ETI) Base Code•⁠  ⁠Supplier Ethical Data Exchange (SEDEX) audit frameworksThese establish globally accepted labour, ethical, and environmental expectations.

SUPPLIER COMMITMENTS
1. Ensuring Safe and Fair Working Conditions Suppliers must comply with all local and national labour laws, and ensure workers receive the highest level of protection provided under either local law or the principles below:
•⁠  ⁠Employment is freely chosen
•⁠  ⁠No child labour is used
•⁠  ⁠No forced, bonded, trafficked or prison labour
•⁠  ⁠Workers have freedom of association and the right to collective bargaining
•⁠  ⁠Working conditions are safe and hygienic
•⁠  ⁠Living wages are paid
•⁠  ⁠Working hours are reasonable and not excessive
•⁠  ⁠No discrimination of any kind
•⁠  ⁠No harsh or inhumane treatment
•⁠  ⁠Workers receive contracts, payslips and clear communication on their rights.

Special attention must be given to the recruitment and employment of migrant workers, with Suppliers ensuring compliance with immigration and labour laws at all times. Workers must never pay recruitment fees or deposits, nor have their identity documents withheld.

Cin Cin does not condone child labour, forced labour or human trafficking. If such practices are identified, Cin Cin will immediately terminate the Supplier relationship.

Facilities must be structurally safe. Suppliers must maintain an Emergency Management Plan and a Workplace Safety Management System and ensure these are documented and communicated to workers.

2. Integrity and Transparency in Business Practices

Suppliers must conduct all business in an ethical and transparent manner.This includes:
•⁠  ⁠Zero tolerance for bribery, corruption, fraud or falsification of records
•⁠  ⁠Transparency during audits or assessments
•⁠  ⁠Full disclosure of any conflict of interest involving Cin Cin
•⁠  ⁠Ensuring any subcontractors or labour brokers comply with this Code
•⁠  ⁠Disclosing the use of homeworkers, subcontractors or third-party labour upon request
•⁠  ⁠Ensuring workers are employed under fair, legal and traceable conditionsAll labour used must be lawful. Workers must be free to leave employment after reasonable notice. Suppliers must keep accurate records and must not misrepresent working hours, wages or conditions.

3. Environmental Stewardship
Suppliers must comply with local and national environmental laws and must work proactively to reduce their environmental impact.This includes:
•⁠  ⁠Proper management of wastewater, chemicals and hazardous substances
•⁠  ⁠Responsible dyeing, washing and treatment processes
•⁠  ⁠Reducing greenhouse gas emissions where feasible
•⁠  ⁠Minimising waste and recycling materials
•⁠  ⁠Reducing water and energy usage
•⁠  ⁠Using recyclable, reusable or sustainably sourced packaging wherever possibleSuppliers must provide environmental performance data when requested by Cin Cin.

4. Compliance with this Code
Suppliers must have formal systems and documentation in place to demonstrate compliance. Cin Cin may request evidence at any time, including policies, training records, payroll data, working hour logs or certifications.

Suppliers must ensure that this Code is communicated to their employees and all relevant subcontractors, raw-material producers and service providers.

Cin Cin reserves the right to conduct audits of Suppliers and their supply chain partners to monitor compliance.

5. Breaches of this Code
Potential breaches can be reported directly to Cin Cin. Reports may be made anonymously by workers or Suppliers without fear of retaliation.Cin Cin will review reported issues and may require a *Corrective Action Plan* with clear timelines.In cases of serious or ongoing non-compliance, Cin Cin may:
•⁠  ⁠Suspend or cancel orders
•⁠  ⁠Terminate the business relationship
•⁠  ⁠Publicly disclose the breach and the corrective actions taken
